COVID Safety Protocols for Retreat Participants

Sunnylands is committed to keeping our guests, employees, their families, and our communities safe during the ongoing COVID-19 pandemic.

Sunnylands’ Convening with Care initiative follows the guidelines set forth by the Centers for Disease Control and Prevention. Our health and safety measures also adhere to local, state, and federal mandates.  We have been receiving regular guidance from leading public health experts to ensure our protocols meet the highest possible safety standards.

All members of the Sunnylands team and external vendors working with retreat guests have been fully vaccinated, and must provide a negative COVID test prior to entering the Estate.

To complement the comprehensive measures we have undertaken, we kindly ask our retreat participants to comply with three requirements prior to traveling to Sunnylands.

Proof of Negative PCR Test

Before departing to Sunnylands, please complete a COVID PCR test within 72 hours of travel and provide Sunnylands with proof of a negative result. PCR tests typically take 1-2 days for results to become available.  If you plan to depart for Sunnylands on November 4, please plan to take your PCR test no earlier than November 1 but no later than November 2.  Please ensure you take a PCR test and not an Antigen test (which delivers faster results but is less accurate).  PCR tests can be performed by appointment at many pharmacies such as CVS or Walgreens, though appointments can fill up so considering making an appointment online in advance.  Though medical insurance policies should cover the cost of PCR tests, at your discretion Sunnylands will reimburse you for the cost of the test.

Proof of Vaccination

Prior to arrival at Sunnylands, provide proof of full vaccination for COVID-19. Acceptable vaccines include Johnson&Johnson, Moderna, and Pfizer. A photograph or scan of your CDC Vaccination Card will suffice for proof of vaccination.

Waiver Form

Sunnylands requires retreat participants to sign a standard waiver form that waives Sunnylands of liability for issues that may arise during your stay at Sunnylands. This form has been updated to include COVID-related issues.

Submitting Documentation to Sunnylands

Sunnylands asks you to complete a liability waiver, request for proof of vaccination and request for proof of negative PCR test using a program called DocuSign. We will send you an email that contains unique links with instructions for you to securely sign the waiver and upload the negative PCR test and proof of vaccination. We encourage you to respond to the liability waiver and proof of vaccination requests at your earliest convenience, leaving only the proof of negative PCR test to submit as soon as you receive your negative result, but before you depart for Sunnylands.

Failure to successfully submit proof of vaccination, proof of negative PCR test, and signed waiver form in advance of the retreat will result in significant delays or potentially denial of entry to the Sunnylands property.  Anyone who leaves the Estate for any reason during the course of the retreat will be asked to submit to a Rapid Antigen Test that can be administered on the property prior to re-entering the estate (results will be available within 15 minutes).

Masking

Masking is not mandatory for retreat participants upon arrival at the Estate. Of course, anyone who wishes to wear a mask should feel comfortable to do so at any time. Masking will still be required for ground transportation to and from the airport.

Thank you very much for your understanding and compliance with these new policies. While we wish these measures were not necessary, we do want to do everything possible to create a safe, collegial and productive retreat environment.
